This notice explains what personal information this site collects, why, and what your rights are. We have tried to keep it short, specific and free of legal padding.

Who is responsible
Alston Moor Parish Council is the data controller for this site. Questions, requests or complaints about your personal data can be sent to hello@alstonmoorhealth.org.
What this site is
This site is a campaign and archive site run by Alston Moor Parish Council. It is not a medical service and does not provide medical advice. If you need medical help, please contact your GP, NHS 111, or, in an emergency, dial 999.
What we collect, and why
Mailing list
If you sign up to the mailing list we keep:
- your email address (required)
- your name, if you choose to give it (optional)
- the date and time you signed up
- the IP address you signed up from, kept as a record that the sign-up was real
We use this only to send occasional emails about the campaigns: news, public meetings, and practical things you can do to help. We do not share your details with anyone outside Alston Moor Parish Council and we do not use any third-party email marketing platform. You can unsubscribe at any time by emailing hello@alstonmoorhealth.org; we will remove your details promptly.
Lawful basis: your consent. You can withdraw it at any time.
Contact form
If you write to us through the contact form we keep:
- your name, email address, subject and message
- the date and time of your message
- the IP address and browser identifier the message was sent from, used to investigate spam or abuse if needed
Your message is also emailed to hello@alstonmoorhealth.org so that we can reply to you. We do not share contact-form messages outside Alston Moor Parish Council.
Lawful basis: our legitimate interest in being able to reply to people who write to us about the campaigns.
Visitor analytics
We use a small, self-hosted page-view counter so we can see roughly how many people are reading the site and which pages are useful. It does not set any cookies, does not contact any third-party service (no Google Analytics, no Meta Pixel, nothing of that kind), and does not record your IP address as such. To count whether a visit is the same person coming back twice in the same day, the tracker takes your IP address and your browser's User-Agent string, mixes them together with a daily random value, and stores only the resulting one-way hash. The original IP cannot be recovered from the hash, and the daily value changes every night so the same person becomes a different hash the next day.
Logged-in working-group members are not counted. Search engine crawlers are not counted.
Lawful basis: our legitimate interest in understanding broadly how the site is used. The data is minimised so the impact on your privacy is small.
Server logs
The hosting provider keeps standard web-server access logs (IP address, request URL, response status, user agent, time of request) for a short period. These exist for security and operational reasons and are not used for tracking individuals.
Cookies
We do not set any cookies on the public side of the site. A single session cookie (amh_session) is set only when a working-group member signs in to the back office, and it is removed when they sign out or close their browser. There are no advertising or tracking cookies of any kind.
How long we keep things
- Mailing list: until you ask to be removed.
- Contact form messages: for as long as we may need them to follow up on your enquiry, and typically no longer than 24 months.
- Analytics: aggregated daily totals are kept for two years, then deleted automatically.
- Server logs: short-term, set by the hosting provider.
Your rights
Under UK data protection law you have the right to:
- ask what personal data we hold about you, and get a copy
- ask us to correct it if it is wrong
- ask us to delete it (the right to erasure)
- withdraw your consent at any time, where consent is the basis we relied on
- object to our processing of your data
- complain to the Information Commissioner's Office
To exercise any of these rights, please email hello@alstonmoorhealth.org. If you are not satisfied with our response you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or by phoning their helpline on 0303 123 1113.
Children
This site is not directed at children. We do not knowingly collect personal data from anyone under 13. If you believe a child has signed up to the mailing list, please email us and we will remove the entry.
Changes to this notice
If we change anything material in how we handle personal data we will update this page and change the date at the top. Older versions are not archived publicly.
